"I want to..." Scenarios

Goal-driven lookup. Find the scenario closest to yours, get the role.


Inviting an org member

"I'm setting up Offload for my company. I'll be the only admin."

Org Admin. You can downgrade your own role later if you need to, but make sure another Org Admin exists first - never leave the org without one.

"I'm hiring another admin to share the load with me."

Org Admin for them too. Two or three Org Admins is normal for a mid-sized operation.

"I'm hiring an ops director to oversee all our jobs."

Ops Manager. They get full operational control without the ability to change company settings or invite users.

"I have a project lead handling our Texas job and another handling Colorado."

Give each one an org-wide role (usually Viewer, so they can browse the company for context), then assign each as Project Manager on their own project. The PM assignment grants Manage on that project; the Viewer role lets them find it in the list. They manage only the project they're assigned to.

"I have a dispatcher who needs to schedule every load and assign trucks/drivers."

Dispatcher. They get full management on every load, but won't touch your project structure or equipment catalog.

"I have a permit specialist who pulls all our permits."

Permit Coordinator. They can manage every permit and every planned route, but can't change schedules or assign equipment.

"I have a driver who only needs to see their assigned loads."

Driver. They won't see anything until dispatch assigns them a load. That's normal.

"I have a rigging supervisor who shows up at the job site for the lift."

Rigger / Operator Supervisor. They see their assigned loads only. If they also need to upload site photos or update equipment status, assign them as a Driver instead - the Rigger role is intentionally narrow.

"Our CFO wants to see what's happening but should never edit anything."

Viewer. They can read every project and load, export documents and routes, but can't change a thing.

"Our customer rep at our brokerage wants to follow up on every load they brokered."

Viewer. This works if the rep is inside your company.

"I have an admin assistant who helps with everything but shouldn't have full admin rights."

Probably Ops Manager if they handle operations, or Viewer with specific overrides for the few things they need to manage. Talk to your Org Admin about overrides for narrow grants.

"We use external bookkeepers who need read-only access for invoicing."

Viewer. Read-only across the org with export capability.


"I can't do something I think I should be able to do"

"I'm a project manager but I can't edit project X."

You're not assigned to project X. Ask the Org Admin or Ops Manager to add you to that project's team.

"I'm a driver but I see no loads on my home screen."

Dispatch hasn't assigned you to a load yet. Talk to your dispatcher.

"I'm a driver but I can't change the pickup time."

Drivers can only request schedule changes - the change is held as pending until dispatch approves it. Use the propose flow on the load schedule.

"I'm a permit coordinator but I can't reassign a truck on a load."

Equipment assignment is the dispatcher's job. Ask dispatch to reassign.

"I'm a viewer but I want to download a document."

You should be able to. Viewers have Read+Export on documents and planned routes. If the export button is greyed out, contact support@letsoffload.com.
