Organize a project

This is the back-office playbook for setting up a job: create the project, fill in its details, add its people and documents, break it into site work phases if you use them, and track it on the Projects workspace. It's written for anyone working in Offload on a computer.

Create the project

You can start a project on its own, or create one without leaving the load dialog.

    Open Create Project

    Go to Projects (/projects) and choose to add a project. This opens the Create Project modal.

    Or create it inline while adding loads

    In the Add Loads dialog you can create a new project without leaving it. This is handy when you're setting up a job's first loads. See Creating a load for that flow.

Fill in the job's details

Give the job everything it needs. Its people and documents flow down to every load under it, and its default locations become quick picks when you set locations on those loads.

    Set the Project ID / Job number

    If your organization has job numbering on, this is pre-filled with the next number. Leave it to accept it, or type your own. See Set up job numbering.

    Pick the customer and branch

    Choose the customer (optional) and the branch that owns the job.

    Assign the project manager

    Choose the person accountable for the job.

    Add a color and description

    Pick a color to tag the job across the app, and add a description if it helps.

    Set the default job-site locations

    Add a default pickup and dropoff. They are not forced onto loads. They show up as quick picks in the location picker when you set locations on the job's loads and site work phases, so you don't retype them.

    Save

    Create the project. It's now on the Projects page.

Add people and documents

Anything you attach to the job flows down to its loads, so add it once here.

    Add project members

    On the project, open the People tab and add the people who should have access to the job. If a person has an Offload login, membership gives them read-only access to the project and its loads (the project manager gets manage access). This records access, not crew: crew is assigned to site work phases on the Dispatch board.

    Attach project documents

    Upload documents that apply to the whole job. They appear on every load under the project, tagged "Project" and read-only there, so one upload covers all the loads.

Add site work

If your organization has the Site work feature enabled, break the job into site work phases. Skip this for a loads-only job.

    Open the project and find Site work

    On the project page, the Site work table lists the job's phases. Choose "Add phase" to open the phase editor.

    Set the phase site and dates

    Give the phase its job site (origin and destination) and its target start and end dates.

    Set crew requirements

    Add the crew types and quantities the phase needs. Crew is fulfilled per scheduled day.

    Set equipment requirements

    Add the equipment the phase needs on site. Equipment is fulfilled by presence, through mobilization and demobilization (mob/demob) loads.

    Save, or Save and add another

    Save the phase. Use "Save and add another" to enter the next phase without reopening the editor.
Scheduling and assigning happen on Dispatch

Declaring a phase's requirements is planning. Scheduling phases onto dates and assigning real crew and equipment happens on the Dispatch board, a separate step. See Site work and phases.

Track your jobs on the workspace

The Projects page is a saved-views workspace, so you can shape it to the jobs you care about.

    Filter, group, and sort

    Narrow to the jobs you want, group them (by status or customer, for example), and sort them. Each row shows load count, customer, origin, destination, and status.

    Save the view

    Save the shape as a view so you can switch back to it any time. See Build and save a view.
