Scan and confirm a permit

This is the back-office playbook for getting a permit from a PDF into a driveable route: upload it, check what Offload pulled out against the PDF, and confirm. It's written for permit coordinators, project managers, and dispatchers working on a computer.

Upload the permit

Start here whenever a new permit comes in for a load you're planning. You only need the permit PDF (the state-issued document) and the load it belongs to.

    Open the load

    Find the load in your project and open it.

    Open Permits & Routing

    Click the Permits card in the load header to open the Permits & Routing tab.

    Click Digitize Permits

    Click Digitize Permits to open the upload dialog.

    Add your files and digitize

    Add the permit PDF. You can add several state permits for one load at once, but keep each permit as its own file. Don't merge two permits into one PDF. Click Digitize! to start.

    Wait for extraction

    Offload reads each permit in the background. The jurisdiction shows Needs Review when it's ready.

The Permits & Routing tab is where you upload, review, and confirm, with the permit PDF open beside the map.

Review what Offload pulled out

The PDF is the source of truth the whole way through. AI extraction is a starting point, not the final word, so check every field against the actual document and edit anything that's off. The review opens on three tabs, with the permit PDF rendered in a side pane next to the map for easy comparison.

    Check the Details tab

    On the Details tab, check dimensions, weight, effective dates, and escort requirements against the PDF in the side pane. Fix anything that doesn't match.

    Walk the Route(s) tab

    On the Route(s) tab, click through the waypoints jurisdiction by jurisdiction. Drag any that landed on the wrong intersection, double-click the map to add a missing one, and use Ignore on any step that doesn't belong. Use Confirm to mark a step as reviewed.

    Confirm the Curfews tab

    The Curfews tab unlocks once every route is confirmed. Confirm each curfew is tied to the right jurisdiction and time window, and fix or remove anything extracted wrong.
NoteConfirming individual steps is just a way to track what you've reviewed on a long route. It doesn't block anything. You can still confirm the whole route with steps left unconfirmed.

Confirm the route

Once the details, route, and curfews check out against the PDF, lock it in. Confirming is what makes the route driveable and flips the permit to Approved on the load.

    Click Confirm Route

    Click Confirm Route at the bottom of a route. The route locks in for navigation and the permit's status moves to Approved on the load.

    Repeat per jurisdiction

    For a multi-state move, confirm each state's route the same way. Once all are confirmed, every permitted route is visible on the load.

    Hand off to the driver

    The confirmed route is ready to push. The driver picks it up when they tap Start Navigation on their phone or tablet.
NoteConfirmation is a first-pass save, not a permanent commit. You can come back and adjust a route later, then confirm again.
