Invite users & download the app

This is the admin playbook for getting a new teammate (driver, dispatcher, or admin) into your Offload organization and onto the mobile app. You add them on the web app, send their invitation, they accept the email invite, and drivers install the app on their phone.

Add a person and invite them

An Org Admin does this from the web app. Adding a person and inviting them happen on the same screen: you fill in their details, and the same form can send the invitation in one step. You will need the person's name and email.

    Open Settings, then the Users tab

    In the Offload web app, go to Settings and select the Users tab.

    Click Add

    Click Add in the top-right of the Users panel. (On an empty org, the panel shows an "Add user" button in the center instead.) This opens the person form.

    Enter their details

    Fill in the person's first name, last name, and email. Email is required when you invite someone.

    Choose a role (if shown)

    When role-based access is turned on, pick the person's role under Role on first login. It defaults to Viewer (the least access) and you can change it later. When role-based access is off, the person joins as Org Admin and no role picker appears.

    Save and send

    Leave Invite as user checked and click Save changes. Offload emails the person an invitation. They must accept it before they can sign in.

Below is the Add form with the details fields and the Invite as user option.

Invite someone you added earlier

If a person was added without an invitation (for example, a driver created as part of a load), invite them from their row in the Users table. People who have not been invited show a Not invited status.

    Find their row

    On the Users tab, locate the person. Use the search box to filter by name, email, or role.

    Send the invitation

    Click the send (paper-plane) action on their row, labeled Send invitation. A short dialog opens.

    Confirm the role and send

    When role-based access is on, the dialog shows a Role picker defaulting to Viewer; pick the role you want. Click Send invitation to email the invite.

What the invite statuses mean

The Status column on the Users table tells you where each person stands:

  • Not invited: added to your team but no invitation sent yet.
  • Invited: the invitation email has been sent and is waiting to be accepted.
  • Expired: the invitation was sent but not accepted within 30 days, so the link no longer works. Re-send it from the person's row.
  • Active: the person accepted the invite, signed in, and is using Offload.
  • Disabled: the person's access has been turned off and they cannot sign in.

Roles you can assign

When role-based access is on, you assign one of these user roles (shown in the role picker):

  • Org Admin
  • Ops Manager
  • Project Manager
  • Dispatcher
  • Permit Coordinator
  • Driver
  • Rigger Operator Supervisor
  • Viewer

Each role is explained on the User roles page. The picker defaults to Viewer (read-only) so a new user never gets more access than you intend. External-party access (carriers, customers, pilot cars, and similar) is granted through sharing, not this invite picker.

Get a driver onto the mobile app

Share these steps with your driver. They do this on their phone after accepting the invitation email.

    Install the app

    On an iPhone, open Offload on the App Store and tap Get. On Android, open Offload on Google Play and tap Install.

    Log in

    Open the Offload app and log in with the email and password created when accepting the invite.

Common snags

A few things that trip people up during invite and install:

  • Invite email did not arrive. Check spam or junk. If still missing, re-send it from the person's row, or contact support@letsoffload.com.
  • Person stuck on Invited. That is normal until they accept the email invite and sign in. Invitations expire after 30 days; once the status reads Expired, re-send it from the person's row.
  • Send action is greyed out. A person needs a primary email and must not already be linked to a user. Add their email, then try again.
  • Person not in the Users table. Contact support@letsoffload.com to have a sysadmin resolve the org configuration.
  • Can't log in. Confirm the invite email was accepted first and a password was set.
