Run the daily dispatch

This is the back-office playbook for getting a day's work planned and into your team's hands: open the board, schedule the work, fill the crew slots, then print or publish the day. It's written for dispatchers and operations coordinators working on a computer.

New to the board? See Digital Dispatch for the overview and The board for the layout.

Open the board

  1. 1

    Go to Dispatch

Click Dispatch in the left navigation.
  2. 2

    Set the date range

Use the Date Range control in the toolbar (presets like Today and This week, arrows to shift the range).
  3. 3

    Filter by branch

Open Filters and pick the branch chips you work, so the board only shows your locations.

Schedule the work

  1. 1

    Find the job

Open the Job Details panel on the right and search for the job. It opens with Site work and Loads tabs.
  2. 2

    Drag work onto dates

Drag phases and loads onto date rows. A scheduled phase arrives with its crew slots pre-created from its requirements.
  3. 3

    Copy repeated days

For a phase that runs the same setup day after day, set up one date and use "Copy Project Card" to copy it across the range.
  4. 4

    Set the order

Drag cards up or down to set the sequence. This is the order sheets print in.

Fill the crew slots

  1. 1

    Open the Resources rail

Toggle it with the Resources button. Filter to People, Trucks, Trailers, or Equipment.
  2. 2

    Match people to slots

Each slot's badge shows the required type. Drag the right person on; their default truck comes along if the slot has no truck yet.
  3. 3

    Check coverage

Phase cards show fulfillment (2/3 crew). Open the phase's schedule grid for the day-by-day picture, and the Availability grid to see who is free.
NoteOffload prevents double-booking. If a slot already has a resource of that type, a "Replace?" confirmation shows the current and new resource before you overwrite it.

Get it to the field

  1. 1

    Give it a final read

Walk the date row top to bottom: every crew staffed, every load covered.
  2. 2

    Print the sheet

Open the date row menu and choose "Print / Export to PDF" for a crew-organized sheet. See Printing & exporting.
  3. 3

    Or publish the day

If your organization has Publish Dispatch (beta), click the date's publish chip: review the audience, add a day note per branch, and publish. Drivers and project managers are notified directly.
